Job Description

As the Head of Central Filing and ADU (Account Documentation Unit) at our prestigious private bank, you will play a critical role in managing and safeguarding client documentation for account openings. You will ensure the accuracy and integrity of information entered by the Front Office and analyze complex client structures while ensuring compliance with regulatory standards. Your leadership will guide a team of professionals, fostering their development and aligning their work with the bank’s commitment to excellence and service quality. Training support will be provided in collaboration with our global teams based in Switzerland.

Main Responsibilities:

  • Client Documentation Validation: Review and validate client documentation for account openings, ensuring it meets the rigorous regulatory requirements specific to private banking.
  • Quality Control: Verify the accuracy of information entered by the Front Office based on signed documentation and promptly address any discrepancies.
  • Collaboration: Collaborate closely with the Front Office and other departments to ensure exceptional service delivery, accurate feedback, and effective communication that aligns with our client-centric approach.
  • Analysis of Complex Structures: Analyze and evaluate intricate investment structures (trusts, foundations, investment funds) with multiple ownership chains, ensuring compliance with all regulatory and tax obligations relevant to private banking.
  • Process Optimization: Contribute to the enhancement of internal processes, identify potential risks, and propose solutions that align with best practices in private banking.
  • Team Supervision: Lead, mentor, and develop a team of 3 collaborators within the Account Documentation Unit, creating a supportive and motivating environment that promotes continuous learning and high performance.

Job position is based in Monaco

Skills and experience

  • Degree in finance, law, or a related field.
  • Significant experience in a similar position within the private banking or wealth management sector, with a strong understanding of the nuances and complexities involved.
  • Strong knowledge of KYC, AML regulations, and tax regulations (CRS, QI-FATCA) applicable to private banking clients.
  • Familiarity with investment structures (holding companies, trusts, funds) and their associated documentation in the context of wealth management.
  • Ability to analyze complex information and produce clear and concise reports that meet the needs of senior management and compliance
  • Structured and Methodical: Proven ability to organize work efficiently, manage multiple priorities, and meet deadlines in a fast-paced environment.
  • Pedagogical: Strong aptitude for transferring knowledge and training team members, ensuring they understand both procedures and the broader context of private banking.
  • Procedure-oriented: Demonstrated commitment to adhering to internal procedures while identifying and implementing improvements.
  • Open to Communication: Exceptional communication skills to effectively engage with internal clients and stakeholders across various levels.
